Privacy Policy

This policy explains what Go LeagueReady collects, how we use it, who we share it with, and the choices you have. We keep it in plain language on purpose.
1. Who we are
Go LeagueReady (“Go LeagueReady”, “we”, “our”) is a product of Ravencord Inc. and provides software for US youth sports leagues, including registration, scheduling, scoring, messaging, and payments. This Privacy Policy explains what we collect, how we use it, and the choices you have.

2. Information we collect
- Account information: name, email address, phone number, role (admin, coach, parent), and a securely-hashed password handled by our authentication provider.
- League content: league name, season schedule, team rosters, match results, statistics, notifications you create, in-app messages, and the timestamps and participants of conversations and messages so the recipients can read them.
- Player information you provide: first name, last name, date of birth, jersey number, t-shirt size, allergies, parent/guardian contact, and emergency contact. We do not collect or display photos of children.
- Payment information: handled by Stripe. We never store full card numbers on our servers.
- Mobile device data: when you install and sign into the mobile app, we collect a push notification token (an identifier issued by Apple's or Google's push notification service) so we can deliver alerts to your device. The token is tied to your account and is removed when you sign out, delete the account, or remove the app.
- Referral program information (if you take part): your referral code, the payout email or details you provide so we can pay a bounty, limited information about accounts you refer (for example whether they signed up and started a paid plan), and any tax information we are required to collect before paying you (such as IRS Form W-9 or W-8BEN).
- Technical data: IP address, browser type, device type, and basic usage analytics for security and product improvement.
3. Children's privacy (COPPA)
Go LeagueReady is intended for use by adults (league administrators, coaches, parents, and guardians). It is not directed to children, and children do not create accounts or use the service directly. Player profiles for minors are created by an authenticated parent, guardian, or league administrator who confirms they have the authority to provide that information.
We do not knowingly collect personal information directly from children under 13, we do not show advertising to children, we do not sell children's information, and we do not store photos of children on our servers.
Because children's data is the most sensitive thing we handle, we maintain a dedicated Children's Privacy Policy (COPPA) that explains verifiable parental consent, what we collect about a player, and how a parent can review or delete it.
4. How we use information
- To operate league scheduling, scoring, registration, messaging, and payments.
- To send transactional notifications (registration confirmations, match reminders, weather cancellations, payment receipts) by email and SMS.
- To detect and prevent fraud, abuse, and security incidents.
- To operate the referral program if you take part: to track qualifying referrals, calculate bounties, pay you using the payout details you provide, and meet our tax-reporting obligations. Your payout email is used only to pay you and is never shared or used for marketing.
- To improve the product and provide customer support.
6. Your privacy choices
Access, correction, and deletion: you can access, update, or delete your account or your child's information from the dashboard or the mobile app, by contacting your league administrator, or by emailing privacy@goleagueready.com. We respond to verified requests within 45 days (extendable to 90 days where reasonably necessary, with notice to you).
Marketing communications: you can opt out of non-transactional emails using the unsubscribe link in any such message. Transactional notifications related to your league activity remain on while your account is active.
US state privacy rights: residents of California (CCPA/CPRA) and other states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, New Jersey, New Hampshire, Delaware, Maryland, Minnesota, Tennessee, Indiana, Iowa, Kentucky, Rhode Island, and others) have the right to know, access, correct, delete, and obtain a copy of their personal information, and to opt out of the sale or sharing of personal information and of targeted advertising.
We do not sell personal information and we do not share it for cross-context behavioral advertising, so there is no sale or sharing to opt out of. To exercise any other right, email privacy@goleagueready.com with the subject “Privacy request”. We will not discriminate against you for exercising these rights, and you may use an authorized agent to submit a request.
Nevada residents (SB 220): we do not sell personal information; if you would like to confirm this in writing, email privacy@goleagueready.com.
Coach background-check disclosure (Fair Credit Reporting Act): when a league administrator orders a background check on a coach, the screening is performed by a Consumer Reporting Agency (currently Checkr). As the “consumer” under the FCRA, the coach has the right to receive a clear written disclosure that a consumer report will be obtained, to authorize the screening in writing, and to receive a copy of the report and a Summary of Rights if the report is used as the basis of any adverse action. Checkr provides these notices directly to the coach as part of its screening flow.
Reporting abuse or harassment received through the platform: if a notification, message, or invite sent through Go LeagueReady contains abusive, harassing, or unlawful content, report it to abuse@goleagueready.com. We will review the report and act consistent with our Terms of Service.
7. Security
We use industry-standard safeguards including TLS in transit, encryption at rest, hashed credentials, role-based access, and audit logging on sensitive operations. Payment card data is handled directly by Stripe in their environment; we never store cardholder data and are PCI DSS SAQ-A compliant by virtue of that architecture. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Breach notification: in the event of a confirmed security incident involving personal information, we will notify affected league administrators and (where individuals are directly impacted) those individuals within 72 hours of confirming the scope of the incident, in compliance with applicable state laws. Where the law requires a longer or shorter notice, we follow the law.

8. Mobile application
When the Go LeagueReady mobile app for coaches and parents launches (planned for summer 2026), it will access the same information described above through the same secure API.
Signing in: uses your email and a password you set. Passwords are securely hashed by our authentication provider (Supabase Auth); we never store the plaintext. If you forget your password, tap “Forgot password” to receive a recovery email and choose a new one. Invited coaches and parents receive a one-time link to set their password the first time.
Account deletion: you can delete your entire Go LeagueReady account directly from the app's Settings screen. Deletion is immediate and removes your account, your linked children's records, your messaging participation, and ends any push subscriptions. Backups are purged or anonymized within 30 days.
Photos: the app lets a parent save photos of their own child (“Moments”). These photos are stored only on the parent's own device and, with the parent's permission, their device photo library. They are never uploaded to Go LeagueReady servers and are never visible to other families or to us.
Notifications: with your permission, the app sends push notifications such as match reminders and score updates. To deliver them, the app registers a push notification token (an identifier issued by Apple's or Google's push notification service) with our backend; this token is tied to your account and is removed when you sign out, delete the account, or remove the app. Push delivery is being configured with the app stores and is activated when our app build is registered with the push service; until then, notifications are delivered by email and in-app only. You can turn push notifications off at any time in your device settings or in the app's Settings screen.
In-app messages: when you send a message in the team chat or a direct message, we store the message body, sender, recipients, and timestamps so the recipients can read it. Messages are visible only to the conversation participants.
Real-time updates: while the app is open, it maintains a persistent connection to our real-time service so that new scores, schedule changes, and messages appear without you having to refresh. The connection carries small event signals only (for example, “a match in this season changed”); the actual data is fetched through the secure API.
On-device data: the app stores a small amount of data on your device, such as your sign-in session and notification preferences, so it works smoothly. Removing the app removes this on-device data.
9. SMS and text messages
Once SMS delivery is activated, we will send transactional text messages (such as match reminders and weather cancellations) to phone numbers provided to a league. Until then, all notifications are delivered by email and in-app only. Message and data rates may apply, and you can opt out at any time by replying STOP. See our SMS Terms for full details. Mobile phone numbers and SMS consent are never shared with third parties for marketing.
10. Data retention
When you delete an account or a child's record, the record is removed immediately from the live database, along with its structured data (match stats, season stats, attendance, registration history, notifications that personally addressed the child) and its in-app messaging participation.
Encrypted backups may retain a copy for up to 30 days, after which the data is purged from backups too. Financial records (payment receipts, tax artifacts) are kept for the period required by US tax law.
Tax forms collected under the referral program (W-9 or W-8BEN) are retained for the minimum period required by the IRS (currently 4 years after the relevant tax year) and are not used for any other purpose.
On-device photos in the mobile app remain on the parent's device until the parent deletes them or removes the app.
11. International users
Go LeagueReady is operated in the United States, and all data is stored and processed in the United States. If you access the service from outside the US, you understand your information is processed in the US.
12. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated by email or in-app notice before they take effect, and the “Last updated” date above will change.
